Position: Bookkeeping Administrator

Purpose of the Role

The Bookkeeping Administrator is responsible for providing administrative support to the Project Bookkeeping department, primarily through the cheque distribution process.

 

Key Responsibilities:

 

·      Coordinating and distributing all cheques for signature to the signing officers and to any related partners, as well as following up on outstanding signatures

·      Maintaining a department cheque distribution list which monitors outgoing and incoming cheques (i.e., mailed or picked up)

·      Obtaining any outstanding documents before releasing accounts payable cheques (WSIB, statutory declarations, site approvals and contract status)

·      Responding to all vendor queries, both verbal and written, regarding status of payments and invoices

·      Reconcile vendor statements and aging reports to ensure all invoices are processed, and any requests copies of any missing invoices

·      Updates and maintains all partner and vendor contact information

·      Perform banking duties at bank branch, including certifying cheques, pick up correspondence, and other banking duties as  required

·      Back-up coverage to main reception

·      Other office duties as required

 

 

Required Expertise and Capabilities:

 

·        Strong time management skills, including prioritizing workload

·        Strong interpersonal and communication skills, both written and verbal

·        Ability to adapt to an ever-changing environment through multi-tasking functions

·        Ability to analyze / interpret data and take appropriate actions

·        Ability to work independently and as part of a team

·        Ability to take initiative on own and reliable to complete tasks

 

 

Qualifications:

 

·        Minimum High School Diploma

·        Exceptional communication skills (written and verbal) with a strong customer service orientation and a friendly disposition

·        Minimum 1 year office administration experience

·        Proficient in Microsoft Office (Outlook, Word, Excel)

·        High level of organizational skills

·        Detail oriented

 

Job Classification: Fixed Term

Regular Shift: 9:00am - 5:00pm, In person at Tridel Head Office
