Position: Project Coordinator – Estimation & Sales department

PRIMARY PURPOSE AND FUNCTION:

The Project Coordinator is primarily responsible for providing support and creating a balance in the time and scope of executing newly tendered projects under the direction of the Estimation/Sales Manager and/or Contracts Manager. They will be responsible for ensuring all issues related to project tendering, scope review and final take-offs and counts are dealt with in a smooth and uninterrupted manner. They will also be responsible for all items that pertain to the review, preparation, and execution of tenders, SI’s, RFI’s and addendums in a timely and prompt manner.


Candidates should be self-starting and highly motivated, with the ability to operate efficiently in a fast-paced environment taking on more responsibilities as experience is gained. The job involves a steep learning curve. Additionally, they must be able to liaison with different departments within the organization and coordinate project activities within all departments when needed.

QUALIFICATIONS:

Formal Education: College or University education is preferred.


Experience: 1-2 years of experience in project coordination, specifically related to tendering of build projects (any product line) within the GTA, working with major Builders. Ex: Mattamy, Tridel- Deltera, Ellis Don etc.

Knowledge/Skills: The candidate must have experience and be comfortable working with computers, including being proficient in Microsoft Office, especially Word & Excel. Experience working with some kind of estimation and takeoff software (like Planswift) is a must. The position requires excellent time management, organizational and troubleshooting skills with the ability to meet tight deadlines. The candidate must be able to multitask, problem-solve and work in a fast- paced environment.

Communication Skills: Strong oral and written communication skills are required to succeed in this role. The incumbent must have strong interpersonal skills to communicate with customers, sales and operation teams via various channels including phone, email, or video conferencing.

MAJOR RESPONSIBILITIES:

1.       Read tender packages, blueprints, and technical documents.

2.       Function as a support system to the Sales and Estimation Team.

3.       Keep track of all project activities to ensure deadlines are communicated to team leaders.

4.      Keep meticulous records of all project items and timelines to ensure project flow is efficient and deadlines are met.

5.       Some of the day-to-day duties will include, but not restricted to, downloading tender packages, preparing the work environment to review these packages, working on tender revisions, reviews of SI’s and addendums that may include changes to drawings, follow up on revisions and addendums for any executed changes to project scope, communicate with vendors for quotes, ideas, and solutions to meet any given project scope.

6.   Carry out administrative duties related to projects communicated by the Estimation Sales Team and/or General Manager.                          

WORKING CONDITIONS:

Mental Effort:

There is a moderate level of stress involved since information needs to be accurate, timely and useful. There is a regular need to give close attention to details.


Physical Effort: The project coordinator spends a considerable amount of time working at a PC in an office environment.


Working Conditions: Much time is spent in an office environment (Hybrid WFH option currently available) with minimal exposure to uncomfortable physical factors or risk of illness.

 

NATURE AND SCOPE OF POSITION:


The position reports directly to the Estimation/Sales Manager of JJ Home Products Division. This position also receives direction from the General Manager of JJ Home Products. The Project Coordinator has working contacts with Sales, Customer Service, and Installation teams.


The position has general freedom to prioritize work and act within the parameters of the job.
