The Role

The primary duty of the Property Leasing and Deals Administrator is to offer daily administrative assistance concerning MLS transactions and to support the leasing team's administrative needs.

 

Reporting directly to the Manager of Leasing & Business Development, the ideal candidate will deliver top-notch service to tenants and owners, striving to minimize vacancies. Assuming responsibility for the day-to-day leasing operations, the Administrator will manage MLS transactions and tenant processing, ensuring qualification for future suites, alongside providing necessary support for other sales, and leasing administrative duties.

 

To excel in the role of Property Leasing and Deals Administrator, you must be dedicated to delivering attentive support to our internal team. Demonstrating outstanding organizational abilities, adept prioritization skills, keen attention to detail, and a firm grasp of the significance of time-sensitive offers and deadlines are essential traits.

What You’ll Be Doing


Deals Administrator:

·      Post units on MLS

·       Post multiple rental units - broker loading and update listings accordingly

·       Process MLS offers and reporting

·       Provide confirmation of payment receipts/invoices to accounting and brokers

·       Coordination of listings and offers with leasing representatives

·       Communication with tenants regarding applications approved

·       Communication with Realtors on status of offers and applications

·       Advance knowledge of the Authentisign program

·       Assist with management of updates to Showingtime Booking Management Tool

 

Leasing Administrator:

·      Administration of all leases and providing application processing support for all tenant applications including credit and background checks

·       Lease preparation for new tenants, renewals and change of tenancy

·       Lease deposit requests to tenants and updating payment collection to accounting team

·       Updating of lease tracking spreadsheet for all information related to tenant move in, payments and utility accounts

·       Updating all insurance records in property management tracking system

·       Responding to queries and correspondence related to invoicing and records management for owner’s and tenants’ payments

·       Rent Review for any new suites coming on notice for re-rentals as well as market reports for renewals on exempt buildings

·       Prepare VIP rental market reports for Re-rentals or as need basis

·       Rental Market Analysis for new suite market rents

·       Weekly Vacancy and Leasing Activity Report for Leadership team, and month-end leasing activity reporting

·       Provide support to the Administration Supervisor as needed for the department

 

Property and Sales Administration:

·       Create management agreements for new suite onboarding for Property Management Services

·       Send payment links and collection of payments from owners

·       Manage insurance certificates and updating records in property management system

·       Uploading of Property Management Condominium docs and utilities information

·       Assigning of leads into HubSpot CRM to dedicated sales reps in sales administrators’ absence

·       Support Senior Administrator as needed for the department

Who You Are  

·       2 years of experience as a Deals Secretary / Transaction Coordinator (required)

·       2 years of experience in Property Management Administration

·       2+ years of customer service experience in a fast-paced environment

·       2+ years of experience in residential property management

·       Proficient in Microsoft Office, specifically Excel

·       Excellent verbal and written communication skills

·       Superior interpersonal and customer service abilities

·       Demonstrated effectiveness in meeting deadlines

·       Strong time management and multitasking capabilities

·       Proficient in residential property administration, RTA, and Ontario Standard Lease forms

·       Advanced computer skills, including Word, Excel, PowerPoint, and Outlook

·       Quick adaptation to new property management software systems

·       Sound judgment and decision-making skills

·       Exceptional communication and relationship-building skills

·       Openness to change and proactive approach to process improvement

·       Strong administrative and organizational aptitude

·       High customer service orientation

·       Motivated to learn and advance within the role
