Purpose of the Role
Reporting to Manager, Sales Administration, the role of the
Sales Office Administrator is to provide a valuable customer experience at the
Sales Office and to provide administrative assistance to the Sales Team. In
this capacity, the Sales Office Administrator is responsible for creating a
pleasant and welcoming environment for prospects, realtors, and homeowners. In
addition, the Sales Office Administrator performs a wide range of
administrative and clerical tasks to support the Sales Team in a manner that
contributes to the efficient and effective organization of the Sales Office.
The Sales Office Administrator works closely with the Sales Team and Sales
Support Centre Team. On occasion, the Sales Office Administrator interacts
with cross function team members. The key responsibilities of the Sales Office
Administrator may not be limited to the following outlined.
Key
Accountabilities
1.
Assists the Sales Team by delivering a valuable customer
experience at the front desk:
a.
Greeting
and registering Sales Office visitors with a welcoming and professional
demeanor
b.
Answering
the telephone and responding to emails in a professional and prompt manner
c.
Creates
a welcoming experience by offering refreshments to Sales Office visitors
d.
Records
all virtual and in-person activities into CRM
e.
Assists
the Sales Team in accompanying prospects, realtors and homeowners through model
suites, amenities, and lobby
f.
Maintaining
a neat, organized, and professional working environment
2.
Prepares and Processes
a variety of documents and reports:
a.
Prior to a signing appointment, assist the Sales
Representative to complete the sales business process flow in CRM and email Sales
Support Centre for contract preparing
b.
Upon execution by Sales Control, processes
Agreements of Purchase and Sale and Addendums with a high level of accuracy
i.
Ensures the Suite Master File contains executed
VTEAM documents
ii.
Uploads all executed documents to VTEAM
Contract and CRM
c.
Works closely with the Sales Team to monitor all
sent items in DocuSign, following up as required in a timely manner
d.
Ensure the information for the purchaser’s FINTRACKER
is completed correctly
e.
Prepare addendums and email to Sales Support
Centre for DocuSign
f.
Prepares Meeting Minutes and other pertinent
reports
g.
Prepares Trade Records for Sales Team
h.
Responds to incoming enquiries related to
realtor commission payable
i.
Maintains Purchaser Solicitor information prior
to Occupancy in VTEAM Contract
j.
Prepares DZ files by reconciling the accuracy
of documents contained within the Suite Master File and documents uploaded to VTEAM
Contract and CRM
3.
Ensures the effective functioning of the Sales Office by:
a.
Maintaining a sound comprehension of all
procedures, including AML (Anti-Money Laundering) and FINTRAC requirements
b.
Adhering to the Privacy Act, respecting
customer confidentiality
c.
Communicating all procedural updates with Part-Time
Sales Office Administrators
d.
Preparing and updating the shared Sales Team
Schedule and Payroll
e.
Monitoring project website to ensure accuracy
and communicating any updates to Sales Support Centre Team
f.
Maintaining an adequate inventory of office
supplies and marketing materials
g.
Reporting deficiencies related to the Sales
Office, Model Suites and Inventory Suites
h.
Attending mandatory meetings and training
4.
Presentation Gallery at Head Office as required:
a.
Manage Bar 1934, which includes but is not
limited to coffee machine set up and cleaning, emptying the dishwasher,
stocking of fridge, etc.
b.
Assist to setup tables and chairs for Sales
meetings and events
c.
Provide general office support to the company
as required
Required Expertise & Capabilities
·
Post-secondary
education within a university or college
·
Must have minimum 3 years
of office experience
·
Must be proficient
with Outlook and Microsoft Word and Excel
·
Experience in customer
service, communication and writing skills
·
Strong organizational
skills and the ability to adjust to frequently changing work assignments in a
fast paced, complex environment.
·
Orientation towards
continuous improvement and creative problem solving
· Must be reliable and punctual
· Fluent in English and preferably equipped with a
second language
